March 1, 2014 Meeting Minutes

Village at Ocean Hill Board of Directors Meeting
Saturday, March 1, 2014
VOH Fitness Center

Present in Person: Linda Flannery, Dave Halla, Vicki Garvey,
Present by Phone: Stephen Hill, Kent Ellis
Absence: Johanna Tucker, Dick Garvey

The meeting was called to order at 10:00 a.m.

Mr. Robinson’s letter to the Board dated February 4, 2014 was discussed. Stephen is preparing a response this weekend to send out to the Board for approval. The letter will be addressed to Mr. Robinson, but will copy the group of former Board presidents and other select community members who Mr. Robinson copies on his communications.

Atty. Hood Ellis is going to draft a letter to Tom Lutton requesting that he refrain from directly soliciting management companies without Board approval. The Board welcome’s input from community members into the recruitment process as evidenced by the posting of the New Management Company Recruitment Form to the VOH website. It is believed, however, that Mr. Lutton overstepped the boundaries when he contacted management companies directly to solicit their interest. The Board has made it very clear previously that the responsibility of recruiting and hiring a management company rests solely with the Board.

The need to maintain the community golf cart was discussed. The golf cart needs about $1,500 in repairs. At this point, the Board is not willing to spend additional community monies on the golf cart since it was purchased for the use of the Trash Rollback team, a volunteer group that has since disbanded itself. Trash rollback is now performed by a professional company for a fee. Additionally, VOH is in need of storage space for various items purchased and used to maintain the property and roads. Dave has volunteered to determine an appropriate price for the golf cart should be the Board decide to sell it and to determine how much storage space is needed going forward and how those needs can be met in an economical manner. He will coordinate with Dick Garvey on this project.

The Board will name Larry Wickline as a preferred vendor for the VOH.

The Board voted to approve the variances in the 2014 Capital Budget as detailed in the attached updates from Dick Garvey dated February 10th and 21st (attached).

Kent will work with Dick on an economical, long term solution to fixing the sinking concrete at the Oceanfront Pool deck. The solution must be finalized and implemented in time for the pool inspections in early to mid-May. Kent and Dick will also coordinate on a solution for alleviating the standing water issue on a small section of Sandcastle Drive.

A Spring Meeting date of Saturday, April 5, at 10:00 a.m. was discussed. Board members will advise of their availability and the date will be posted in the News section of the website.

The meeting was adjourned.
